Relationship Evidence — Communication Gap Explanation Letter
Other · Last reviewed 2026-06-07 · Download PDF
A gap in documented communication can prompt an officer to question the continuity of a relationship. A short, factual explanation letter pre-empts that concern by stating why the gap exists, without speculation, and pointing to what the couple were doing during that period.

Explanation of Communication / Evidence Gap

To the reviewing officer,
We are writing to explain a gap in our documented communication between [GAP START DATE] and [GAP END DATE]. We want to address this proactively so it is not mistaken for a break in our relationship.
Reason for the gap
During this period: [STATE THE FACTUAL REASON — e.g. "we were living together in [PLACE] and therefore communicated in person rather than by message", or "[NAME] was on military deployment with restricted connectivity", or "we primarily used voice/video calls during this period, which produce no text record"].
Supporting evidence for the gap period
- [EVIDENCE 1 — e.g. "Shared lease / travel records showing cohabitation during this period (Exhibit [X])"]
- [EVIDENCE 2 — e.g. "Call logs or video-call screenshots showing contact by other means (Exhibit [X])"]
- [EVIDENCE 3 — e.g. "Photographs together dated within the gap period (Exhibit [X])"]
Our communication resumed in its usual pattern after [GAP END DATE], as the enclosed chronological appendix shows. The gap reflects [the circumstances above] and not any interruption in our relationship.
Sincerely,

When to include a gap explanation
Include a short explanation whenever your communication or evidence has a visible gap longer than about a month — especially if your chronological appendix makes the gap obvious. Officers are trained to notice gaps; a calm, factual explanation is far better than leaving them to draw their own conclusions.
How to write it well
- State facts, not feelings. "We lived together" or "deployment with no connectivity" is stronger than "we were just busy."
- Point to evidence from the gap period itself (cohabitation, calls, photos).
- Keep it to one page and attach it near the relevant section of your packet.
Frequently asked questions
Will a gap in my chat history cause a refusal?
Not by itself. Officers understand that couples communicate in different ways and sometimes live together (which produces fewer messages). A gap becomes a problem only when it is unexplained. A short factual explanation letter, paired with evidence from the gap period (cohabitation, calls, photos), usually resolves the concern.
What if we mainly used voice or video calls during the gap?
Say so, and provide what records you have — call logs, video-call screenshots, or app activity. Many messaging platforms record voice-note durations and call frequency even when there is little text. The explanation letter tells the officer where to look.
Where should the gap explanation go in my packet?
Place it near the chronological evidence summary or the section where the gap appears, and reference it in your cover letter or relationship statement. The goal is for the officer to read the explanation at the same moment they notice the gap.
